📋 Description

• Execute all aspects of the media vendor billing lifecycle, including airtime processing, invoice collection and approval, invoice coding, and discrepancy resolution • Ensure accurate and timely billing aligned with internal finance teams and client expectations • Identify and implement process improvements to increase efficiency and reduce errors • Set up and update finance trackers, reconcile budgets against campaign workbooks, save invoices, and identify missing invoices • Execute media billing processes and SOPs across legacy agencies and Avalere Health lines of business • Standardize financial workflows and help build scalable media finance infrastructure • Serve as the primary point of contact for media out-of-pocket spend across Avalere Health • Track, manage, reconcile, and report media-related expenses across accounts and business units • Collaborate with Accounts Payable and Accounts Receivable teams on billing timelines, discrepancies, and financial records • Liaise between media, finance, and client teams • Participate in weekly and monthly client team meetings regarding budgets, billing status, reconciliation, discrepancies, and forecasts • Support client-facing teams with financial insights and reporting • Support vendor onboarding and ensure compliance with billing timelines, formats, and requirements • Report to the Media Operations Director

🎯 Requirements

• Bachelor’s degree in Finance, Marketing, Media Studies, or Communications • 3–5+ years of experience in media finance, agency finance, or media operations • Strong understanding of media billing processes, reconciliation, and vendor management • Experience working with AP/AR teams and financial systems • High attention to detail and strong organizational skills • Ability to manage multiple stakeholders and deadlines in a fast-paced environment • Experience with Media Ocean, NetSuite, and/or Adobe Workfront • Exceptional knowledge of the media buying process • Experience communicating with internal teams and agency partners • Ability to multitask and be a team player in a fast-paced environment • Strong interpersonal, analytical, problem-solving, negotiating, and conflict-resolution skills
