• Grants Administration: Shepherd grants through handoff, grantee communications, due diligence, contracts, signatures, payments, and required reports • Maintain timely and meticulous grant records in the grants database • Advise Research on grant logistics and grantee expectations • Build and improve grant administration systems in Salesforce, Asana, and Ironclad, including automation and efficiency improvements • Collaborate with Research Operations, Finance, Legal, and Outreach • People Operations: Support onboarding, offboarding, performance reviews, feedback programs, HR questions, payroll, benefits, COBRA, enrollment, leave, tax compliance, reporting, immigration, visas, international employment, global mobility, EOR management, policies, procedures, and self-service tools • Talent Acquisition: Support full-cycle recruitment, applicant review, screening calls, work trials, interview logistics, offers, candidate sourcing, recruiting documentation, reports, SOPs, hiring-round logistics, work-trial honorariums, and careers-inbox inquiries • Technology: Support IT onboarding and offboarding, manage software licenses and vendor accounts, troubleshoot technology issues, train staff, and improve the technology foundation • AI Enablement: Create AI enablement materials, identify AI tools, assess their value, and help configure and deploy them safely and effectively • Office of the CEO: Support scheduling, event planning, note-taking, rolodex management, expenses, administrative and project work, communications, presentations, strategy documents, memos, and potentially AI initiatives • Office of the COO: Act as a proxy for the COO, support communications and networking, manage information flow and prioritization, prepare and follow up on meetings, handle occasional scheduling, and own cross-Operations initiatives • Complete application work samples, interviews, work trials, and reference checks as part of the hiring process
• Operations experience is valued; domain-specific experience or demonstrated alignment with GiveWell is advantageous • Candidates may be very early in their careers, including recent graduates • Ownership and ability to solve problems beyond merely completing assigned tasks • Clear written and verbal communication across Zoom, Slack, email, and memos • Good judgment and systematic reasoning through unfamiliar problems • Openness to direct feedback and willingness to develop new skills • Service orientation and ability to collaborate with supported teams • Adaptability to shifting priorities and unfamiliar systems, tools, and technology • Curiosity about and willingness to use AI and other helpful technology • Motivation by GiveWell’s mission and alignment with its values • For the Chief of Staff to the COO, willingness to work in person in Oakland 1–2 days per week is preferred, not required • Ability to participate in occasional travel, including Visit Weeks and departmental retreats
