📋 Description

• Coordinate virtual and onsite interviews across multiple time zones, including calendars, meeting links, conference rooms, interview materials, and schedule changes • Serve as a welcoming and responsive point of contact for candidates, recruiters, hiring managers, and interviewers • Support onsite interview logistics, including candidate travel, itineraries, accommodations, and expense-reimbursement coordination • Maintain accurate candidate, interview, and job information in Greenhouse and document recruiting activities consistently • Prepare and distribute the weekly interview-scheduling report • Identify delays or scheduling risks and follow up on outstanding actions • Manage the employee referral-bonus report and tracker • Partner with recruiters and Talent Acquisition Operations to validate referral eligibility and prepare approved referrals for processing • Support interview-plan readiness, debrief scheduling, candidate communications, and other recruiting-process activities • Track recruiting activities, service levels, and process issues to identify continuous-improvement opportunities • Handle candidate and employee information with professionalism, discretion, and confidentiality

🎯 Requirements

• 2+ years of experience in recruiting coordination, human resources, operations, or administrative support • Experience coordinating complex schedules across multiple stakeholders and time zones • Strong organizational skills and ability to manage competing priorities with accuracy and follow-through • Excellent written and verbal communication skills • Proficiency with Microsoft Outlook, Teams, Excel, and Word • Experience using applicant tracking systems • Comfort working with reports, spreadsheets, and detailed data • Strong judgment and problem-solving skills • Commitment to confidentiality • Collaborative, adaptable mindset • Interest in improving work processes
