📋 Description

• Run league operations across four territories during the week • Manage part-time staffing, venue operations, coach recruitment, and family communication • Prepare the weekend team to run game days without the Program Manager on site • Recruit, hire, and onboard part-time field staff • Manage job postings, applicant pipeline, background checks, I-9 Work Authorization forms, and confidentiality agreements • Assign and track virtual training and schedule in-person training • Build and maintain staff schedules in Connecteam; track call-outs and adjust coverage • Maintain regular contact with staff and site managers • Ensure venues have correct program setup and required documents uploaded • Keep rule books, practice plans, venue maps, notes, and opening/closing-day notes current • Ensure staff proficiency with the Game Day app • Maintain coach rosters and manage coach recruitment communications • Answer the coaches hotline and route inquiries appropriately • Respond to family communications and resolve issues • Document outcomes and present recommended plans to the Athletic Director • Communicate confirmed action plans to weekend staff and follow up after weekends • Deliver the Monday summary to leadership by 10:00 AM • Develop the following weekend’s action plan Tuesday–Thursday • Deliver written weekend game plans and hold preparation meetings on Friday • Set up Friday tasks, on-my-way tasks, and site manager logs • Ensure weekend reports address active venue action plans

🎯 Requirements

• Proven administrative follow-through: manages a high-volume inbox and resolves issues by phone • Experience managing part-time or seasonal staff • Clear written communication for reports, game plans, and action plans • Self-directed and organized in a remote role • Proficiency with scheduling and applicant tools (Connecteam, CareerPlug, Asana), or the ability to learn them quickly • Preferred: Youth sports or recreation experience
