📋 Description

• Serve as a strategic thought partner to the Executive Director on organizational priorities and key decisions • Direct internal planning and execution across operational domains • Coordinate with the Board of Directors, including meeting preparation, governance documentation, and board action items • Lead employee lifecycle operations, including onboarding, benefits administration, compensation updates, leave administration, and performance management • Oversee recruitment and hiring of staff and contractors • Manage monthly payroll updates, compensation adjustments, and union dues processing via Justworks PEO • Serve as management liaison for implementation of the collective bargaining agreement • Coordinate communications with union representatives on personnel and operational matters • Lead labor-management meetings, bargaining preparation, and implementation of negotiated agreements as needed • Ensure HR policies and procedures comply with the collective bargaining agreement and employment laws • Foster a healthy, inclusive, and high-performing organizational culture • Lead audit preparation with the organization's accountant and auditor • Conduct and present monthly financial reviews • Reconcile monthly bank and credit card statements and maintain financial tracking systems • Lead annual budgeting, revenue projections, and long-term financial planning • Lead government grant contract management, reporting, and compliance • Support strategy and relationship management for City, State, and institutional funding opportunities • Draft and assemble grant proposals, reports, briefing materials, and fundraising collateral • Track funding opportunities, deadlines, reporting requirements, and funder relationships • Partner with the Executive Director on funder communications, cultivation, and stewardship • Facilitate planning and working sessions with community partners, legal service providers, government agencies, and external stakeholders • Represent JustFix at partner meetings, conferences, and external events • Administer and improve the operational technology stack, including Google Workspace, Slack, Justworks, QuickBooks, and Zoom • Lead vendor and consultant management, including procurement, contracts, onboarding, and payment processing • Improve organizational processes, documentation, and internal systems • Coordinate product development and launch activities with the product team and external partners • Oversee external communications related to product launches, including newsletters and social media • Manage the Google Ad Grant and direct external marketing agencies when necessary • Support project timeline management, milestone tracking, risk identification, and launch coordination as needed • Participate in review of product features, content, and user experience as needed

🎯 Requirements

• 5+ years of experience in nonprofit operations, organizational leadership, finance, fundraising, or a related field • Hands-on experience managing foundational administrative functions such as HR, finance, and/or operations • Strong project management and systems-building skills • Ability to balance high-level strategy with meticulous administrative detail • Excellent writing and communication skills • Experience drafting external-facing materials such as grant proposals or board memos • Labor relations awareness, or demonstrated maturity and judgment to operate effectively within a unionized environment • Commitment to JustFix's mission of advancing housing justice • Experience in civic technology, legal technology, or mission-driven software organizations preferred • Experience supporting digital product development or product operations preferred • Experience with government contracts and public funding preferred • Experience facilitating workshops and multi-stakeholder meetings preferred • Familiarity with AI-enabled productivity tools and project management software preferred
