📋 Description

• Administer and coordinate the department’s e-billing and matter management platform • Process, review, and monitor legal invoices for timely approvals, accurate coding, and billing-guideline compliance • Coordinate matter setup, law firm onboarding, vendor maintenance, user support, and system administration • Monitor invoice exceptions, billing violations, workflow issues, and matter-data quality; resolve issues with stakeholders and law firms • Support outside counsel engagement, fee arrangements, accrual tracking, budgets, and law firm communications • Generate reporting on legal spend, accruals, vendor performance, matter activity, and operational metrics • Partner with Finance, Procurement, legal, and technology teams on invoice payments, spend management, and process improvements • Maintain e-billing documentation, process guides, billing records, and controls for governance and audit readiness • Assist with legal technology implementation, testing, training, rollout, and workflow improvements • Coordinate special projects through project plans, status updates, dashboards, communications, action tracking, and follow-up • Conduct process analysis and research to identify improvements and enhance user experience using company AI tools • Support communications, training materials, playbooks, standard operating procedures, and other legal operations resources

🎯 Requirements

• Bachelor’s degree or equivalent practical experience • 3+ years of experience in legal operations, e-billing administration, legal support, finance operations, procurement operations, project coordination, or a related field • Experience with e-billing, matter management, finance, procurement, or enterprise business systems • Strong proficiency in Microsoft Office, particularly Excel and PowerPoint • Ability to prepare clear reports, summaries, and executive-ready materials • Experience supporting projects, tracking milestones, following up on action items, and driving workstreams from planning through execution • Experience using AI-enabled productivity tools • Strong organizational skills and attention to detail • Ability to manage multiple priorities and deadlines in a fast-paced environment • Strong written and verbal communication skills • Analytical and problem-solving skills, including root-cause analysis and process improvement • Ability to handle confidential information and exercise sound judgment • Experience with Legal Tracker, Ariba, or similar e-billing and procurement platforms preferred • Experience supporting outside counsel management, legal spend administration, invoice review, accruals, budgets, or law firm billing guideline compliance preferred • Experience with technology implementations, user testing, change management, training, or process redesign preferred • Knowledge of Power BI, Smartsheet, or similar reporting and analytics platforms preferred • Ability to work independently across global teams, regions, and time zones • Indefinite right to work in the United States
