📋 Description

• Serve as the primary operational lead for Medical Affairs congress activities, focusing on psoriasis and dermatology congresses, with growing rheumatology and future-indication coverage • Build and maintain project plans, task trackers, and run-of-show documents; monitor milestones and escalate risks • Own vendor relationships and contracts for congress execution, including negotiation and accountability for timelines and deliverables • Execute end-to-end event logistics, including venue sourcing, contracting, catering, housing, registration, badging, transportation, booth setup, meeting rooms, and attendee support • Conduct post-congress lessons learned, invoice review, and budget-to-actuals reporting • Support virtual and hybrid congress configurations, including platform setup, attendee communications, and A/V coordination • Coordinate advisory board and KOL council logistics, including scheduling, venues, platforms, catering, A/V, materials, and communications • Manage KOL contracting with Legal and Compliance and confirm contracts are executed before HCP engagement • Maintain invoice records and coordinate timely payment with Finance • Track advisory meeting budgets, actuals, variances, accruals, and forecasts • Partner with Medical Affairs leaders, Medical Directors, vendors, Legal, Compliance, and Finance to deliver compliant events • Maintain stakeholder communications, shared calendars, status updates, and risk escalations • Ensure adherence to PhRMA Code guidelines and internal compliance policies • Maintain audit-ready event documentation • Generate post-event attendance, budget, spend, and cost variance reports • Track purchase orders, invoices, and accruals in financial systems such as Coupa • Contribute to SOP templates, planning checklists, and event infrastructure tools

🎯 Requirements

• Bachelor’s degree in a relevant field (life sciences, business, communications, hospitality management, or equivalent experience) • 3+ years of conference, meeting, and event management experience in a pharmaceutical, biotech, or life sciences environment • Proven track record of independently executing complex, multi-stakeholder events from initial planning through onsite delivery and post-event close-out • Experience managing HCP contracting and honoraria processes in compliance with PhRMA Code and OIG fair market value requirements • Exceptional written and verbal communication skills • Ability to translate complex logistics into clear stakeholder updates and manage expectations across multiple functions • Outstanding organizational discipline and attention to detail • Ability to manage multiple concurrent workstreams under deadline pressure • Sound judgment and confident decision-making in ambiguous, fast-moving onsite situations • Ability to independently troubleshoot and resolve issues • Ability and willingness to travel up to 10-30% for company meetings, congresses, vendor meetings, and other business needs
