• Translate methodologies and technical approaches into sequenced work plans with owners, due dates, dependencies, and review gates • Write and maintain procedures, checklists, templates, file architectures, version control, access permissions, and decision records • Onboard team members to project tools and protocols • Translate contract scopes into detailed schedules, timelines, task plans, charters, trackers, RAID logs, and dependency maps • Maintain project tracking two to three weeks ahead and flag conflicting deadlines with proposed options • Follow up on action items and maintain governance documentation, including RACI charts, sponsorship maps, and decision logs • Estimate staff and resource needs to support planning, budget development, and reforecasting • Maintain risk and issue registers and track mitigation to closure • Track contract deliverables against due dates and requirements • Coordinate proofreading, brand compliance, accessibility review, formatting, and other deliverable quality assurance • Prepare and submit invoices for completed deliverables • Monitor spending and level of effort against task-level and total not-to-exceed amounts • Coordinate logistics for client meetings, workshops, retreats, advisory body meetings, and multi-day working sessions • Manage venue setup, audiovisual needs, catering, travel, registration, attendance, and dietary/accessibility accommodations • Draft agendas and run-of-show documents, prepare participant materials, and manage participant communications • Facilitate internal team meetings, capture notes and action items, prepare status updates, and manage project calendars • Serve as scheduling, logistics, and status point of contact for clients • Coordinate dependencies with technology vendors, state IT departments, and delivery partners • Consult Project Directors on changes to scope, budget, or timeline • Direct end-to-end delivery for medium-sized scopes and support Senior Project Managers on larger scopes
• Bachelor’s degree or equivalent professional experience • Familiarity navigating public-sector timelines • Experience coordinating or managing multi-workstream projects or contracts where the project plan changed materially after kickoff, ideally in public sector, education, or professional services consulting • Experience working alongside subject-matter experts and translating their approach into an operational plan • Hands-on experience running logistics for in-person professional convenings, workshops, retreats, or multi-day meetings • Proficiency in Asana, Smartsheet, or a comparable project management platform such as Monday.com, MS Project, Airtable, or Jira • Ability to build trackers, dashboards, and templates • Ability to translate a contract scope of work into a detailed schedule with dependencies, owners, and milestones • Ability to design durable project structures and clearly document processes • Budget tracking, invoicing, and cost monitoring against contract amounts • Deliverable quality control, including proofreading, brand compliance, and digital accessibility standards • Strong spreadsheet skills in Google Workspace and Microsoft Office • Ability to organize information and maintain current documentation • Ability to adapt to changing plans and proactively surface risks • Meticulous attention to detail across documents, schedules, budgets, and logistics • CAPM, PMP, or comparable project management certification preferred • Experience supporting a governing board, council, commission, or other public advisory body preferred • Prior work in state agencies, regional service agencies, large districts, or national TA centers preferred • Must be authorized to work in the United States; visa sponsorship is not available • Successful candidates must pass a criminal background check and education verification • Will require multi-day in-person travel to Oregon several times per year • Geographic preference: West Coast, Pacific Northwest, or Mountain West
