• CRM, Odoo & Sales Operations • Advanced Odoo CRM Management: Configure, maintain, and optimize client records, master data, and sales pipelines (Leads, Opportunities, Quotations) within Odoo. • Sales Process Support: Qualify new leads, coordinate first outreach steps, and support the creation/sending of sales proposals (Quotations) directly from Odoo. • Workflow Optimization & Support: Actively support the team in identifying automation opportunities between Odoo modules (e.g., Sales to Invoicing) and other tools (Google Workspace, Zapier). Comfort in learning and utilizing new digital tools and automation platforms is essential. • Sales Reporting & Analytics: Prepare regular reports on pipeline performance, conversion rates, and key sales metrics. • Technical Maintenance: Perform periodic maintenance, test web forms and contact flows, and coordinate with IT/developers for complex integrations. • Operations and Client Support • Client Onboarding & Contracts: Manage the entire client onboarding flow within Odoo: record creation, contract dispatch (digital signature integration), and follow-ups. • Invoicing and Internal Accounting (Odoo Module): Assist with the creation of invoices and credit notes. Support the Finance team in tracking outstanding payments (Accounts Receivable Follow-ups). • Operational Documentation: Maintain updated Standard Operating Procedures (SOPs) and internal documentation related to Odoo usage and operational flows. • Administrative Management: General team administration, including managing shared inboxes (e.g., admin@). • Team Support • Assist with the technical onboarding of new team members (Odoo access creation, CRM usage training). • Coordinate internal tools and provide basic troubleshooting support for systems in use

🎯 Requirements

• Proven Odoo Expertise (Must-Have): Practical and in-depth experience in configuring and managing the Odoo CRM, Sales, and Invoicing modules (Recent Odoo 15+ versions). • Experience: 2+ years in Virtual Assistant, Operations Coordinator, Sales Coordinator, or similar roles with a strong emphasis on CRM/ERP systems. • Sales-Oriented Mindset: Understanding of sales processes (pipeline management, lead qualification) and the ability to actively support the conversion cycle. • Digital Proficiency & Learning Agility: Strong familiarity with Google Workspace. • Must be highly comfortable learning and implementing new digital tools and process automation platforms (like Zapier) to improve efficiency. • Organizational and Communication Skills: Strong multitasking, time management, and clear communication skills, both written and verbal. • Languages: Excellent fluency in English (written and spoken); knowledge of French or Spanish is a strong asset
