📋 Description

• Own end-to-end payroll operations and financial administration • Execute two monthly payroll cycles using Wise • Review timesheets, invoices, reimbursements, bonuses, deductions, and payroll adjustments • Prepare payroll approval summaries and maintain payroll reports and the Contractor Masterfile • Process contractor rate increases and compensation changes • Support month-end reconciliation, financial reporting, and recordkeeping • Manage Stripe subscriptions and recurring billing • Prepare and reconcile client invoices and resolve billing discrepancies • Maintain Monday.com boards, operational trackers, shared documentation, and HR/finance records • Coordinate recurring operational meetings and administrative requests • Support leadership with operational projects and cross-functional initiatives • Coordinate contractor onboarding, offboarding, check-ins, engagement initiatives, anniversaries, and recognition • Manage contractor agreements, tax forms, background checks, and compliance documentation • Track PTO, contractor records, and employment changes • Serve as the primary contact for payroll and operational questions • Develop SOPs and improve operational workflows and documentation • Identify repetitive tasks for automation and implement solutions using AI, Zapier, Make, or similar tools • Build dashboards and operational reports • Recommend and implement process improvements that increase efficiency and support company growth

🎯 Requirements

• 3+ years of experience in Operations, Payroll, Finance, HR Operations, Bookkeeping, or Business Administration • Experience supporting a U.S.-based company, startup, or distributed remote team • Experience processing payroll, contractor payments, client billing, or financial reconciliations • Strong spreadsheet skills and exceptional attention to detail • Experience with Wise, Stripe, QuickBooks, Monday.com, or similar business systems • Excellent written English and professional communication skills • Ability to independently manage recurring deadlines in a fast-paced environment • Process improvement experience, including documenting workflows or building operational systems • Bachelor's degree in Business Administration, Accounting, Finance, Human Resources, or a related field • Preferred: experience with contractor-based or remote-first organizations • Preferred: experience building SOPs and operational documentation • Preferred: experience with Zapier, Make, Google Apps Script, or AI workflows • Preferred: experience creating dashboards or KPI reporting • Preferred: knowledge of payroll compliance and client billing processes
