📋 Description

• Own the end-to-end onboarding process for new joiners across all company geographies, coordinating with HR, IT, and Finance. • Manage procurement, preparation, handover, and asset records for new-joiner equipment. • Oversee offboarding, including equipment recovery, insurance cancellations, and required documentation. • Manage employee medical insurance enrollment and cancellation with providers and country coordinators. • Manage employee visa issuance, renewals, and cancellations across UAE, KSA, Jordan, and Egypt. • Track visa, permit, and commercial registration expiries and initiate renewals ahead of deadlines. • Oversee company commercial licenses and registrations across operating jurisdictions. • Ensure compliance with regional labor laws in the UAE, KSA, Jordan, Egypt, and the US and maintain audit readiness. • Review and approve Operations-originated payroll inputs, including expenses, deductions, and reimbursements. • Ensure accurate and timely country-level payroll and expense submissions. • Coordinate with HR Payroll to resolve Operations-originated variances and exceptions. • Supervise country Operations coordinators and support staff across regional offices. • Manage office leases, facilities, utilities, maintenance, and vendor contracts. • Oversee travel, accommodation, and transportation logistics for employees and consultants. • Manage medical insurance renewals and provider relationships, including coverage and claims handling. • Monitor administrative and facilities budgets, identify cost savings, and escalate variances. • Document, standardize, and continuously improve operational processes across geographies. • Identify process gaps, workarounds, and automation opportunities and present recommendations to the CPOO. • Support company-wide reporting, compliance checks, and operational audits.

🎯 Requirements

• Bachelor's degree in Business Administration, Operations Management, or a related field. • 7–10 years of experience in multi-country operations, office management, or administrative leadership roles. • Proven experience managing a distributed team across multiple geographies and time zones. • Hands-on experience with visa, immigration, and government liaison processes in KSA, UAE, and/or Jordan. • Experience managing medical insurance programs and vendor contracts. • Ability to build and enforce operational procedures in environments with inconsistent or absent processes. • Strong working knowledge of labor and compliance frameworks across KSA, UAE, Jordan, and Egypt. • Proficiency in MS Office and experience with ERP or operational management systems. • Flexibility to work across multiple time zones and working-week structures. • Ability to design, document, and enforce processes and hold teams accountable. • Experience managing country-level operations remotely without physical oversight. • Experience leading teams with varied seniority and capability levels. • Structured, concise executive communication and judgment about escalation. • Service orientation, independent problem-solving, attention to detail, and rigorous record/deadline management. • Preferred: experience in IT staffing, systems integration, managed services, or professional services. • Preferred: experience coordinating payroll inputs across multi-currency, multi-country payroll cycles. • Preferred: experience managing equipment procurement and asset tracking for dispersed consultant workforces. • Preferred: very good English language proficiency for KSA and UAE coordination.
