📋 Description

• Manage complex, fast-moving calendars across multiple time zones and geographies • Provide scheduling and coordination support for senior leadership • Handle sensitive and confidential matters with discretion • Coordinate with internal stakeholders, external partners, and senior leaders • Collaborate with other executive assistants to align schedules and share context • Anticipate needs, manage follow-ups, flag conflicts, and keep stakeholders aligned • Build scalable structures, processes, and systems for a fast-growing AI company • Identify opportunities to automate and streamline repetitive work using AI and productivity tools

🎯 Requirements

• Proven experience supporting senior leaders and their broader teams in a fast-moving environment • Experience coordinating with other EAs across the organisation • Strong organisational skills managing competing priorities, shifting timelines, and multiple stakeholders • Exceptional written and verbal communication skills • High emotional intelligence and discretion with sensitive information • Ability to support an individual and a wider team, flexing between senior leadership support and broader operational needs • Personable and able to build genuine relationships across the organisation • Fluency with AI tools such as Claude or ChatGPT and quick adoption of new systems • High personal standards and attention to output quality • Valid passport • Willingness to travel globally approximately 40% of the time • Fluent written and spoken English and Spanish • Portuguese proficiency is a plus
