📋 Description

• Own day-to-day management of active jobs in AccuLynx from job creation through production scheduling, milestone tracking, and project close • Maintain accurate and complete job records, including contacts, status, notes, documents, photos, and communications • Move jobs through pipeline stages accurately and in real time • Set up new jobs from intake with required information, job type, and documentation • Monitor the pipeline and proactively identify stalled, overdue, or at-risk jobs • Coordinate project timelines, inspections, material deliveries, crew assignments, and installations • Communicate schedule updates and changes to team members and customers • Track material orders, delivery confirmations, and job readiness • Coordinate with subcontractors and suppliers • Maintain the production calendar and flag capacity conflicts or scheduling gaps • Serve as a customer point of contact throughout the project lifecycle • Send appointment confirmations, project updates, and completion notifications through AccuLynx • Respond to customer inquiries and escalate complex issues • Track insurance claim numbers, adjuster assignments, and supplement status • Coordinate insurance-related milestones with the sales team • Ensure contracts, photos, insurance documents, permits, warranties, and invoices are attached to the correct jobs • Maintain organized and complete job files • Prepare and send contracts and other documents through AccuLynx • Generate and review AccuLynx reports for pipeline status, production volume, and job aging • Track jobs by stage, days in stage, and outstanding items • Identify pipeline bottlenecks and recurring issues and present solutions to leadership

🎯 Requirements

• Demonstrated, hands-on AccuLynx proficiency — comfortable navigating the platform efficiently without training • Project management experience in roofing, exterior contracting, or a closely related construction trade • Understanding of the roofing and exterior project lifecycle • Ability to manage a high volume of active jobs simultaneously without losing detail • Strong written and verbal communication skills • Proactive problem-solving ability • Ability to work independently in a remote environment with direct accountability to operations leadership • Preferred: Experience managing insurance restoration jobs in AccuLynx, including claim numbers, supplements, and adjuster coordination • Preferred: Background in roofing production coordination, scheduling, or operations management • Preferred: Familiarity with AccuLynx reporting, job stage customization, and workflow automation features • Preferred: Experience with SmarterDocs or other contract and document tools integrated with AccuLynx • Preferred: Prior experience in a remote operations or project coordination role supporting a field-based team
