📋 Description

• Coordinate external freight forwarding, 3PL/warehouse, and courier partners across the shipping and fulfilment chain • Lead meetings with warehouses, freight forwarders, and factories • Monitor inventory, forecast demand, flag stock risks, and prevent stockouts • Liaise with factories and suppliers by phone and email regarding production, shipments, and delays • Track shipments, troubleshoot issues, and escalate risks in real time • Apply import/export and customs-clearance knowledge • Manage the customer service team and oversee performance and inbox quality • Prioritise, delegate, and track team tasks using ClickUp or similar • Handle ad hoc founder-delegated tasks and proactively manage capacity • Support hiring, screening, and interviewing as the team grows • Own AI integration, automations, connectors, and operational workflow improvements • Research unknowns and solve problems independently using AI tools • Step into customer escalations and improve customer-service SOPs • Build and maintain business SOPs with consistent formatting and structure • Coordinate marketing activity with operational impacts, including demand and inventory planning • Set and run supplier, 3PL, consultant, and stakeholder meetings • Hold suppliers, agencies, and consultants accountable to expectations and KPIs • Support partner outreach and meeting-setting • Manage product catalogues, listings, and current site content • Identify CRO and site/UX issues and coordinate fixes • Support marketplace expansion such as Amazon and TikTok Shop • Negotiate retailer, hotel, wholesale, and distribution opportunities; draft contracts for founder approval • Support athlete and medical/doctor endorsement partnerships • Analyse KPIs and performance metrics into actionable recommendations • Forecast and manage area spend with working budget/P&L literacy • Run inventory audits and manage inventory reporting and invoicing • Monitor cash flow, working capital, FX exposure, pricing, promotions, discounts, and margin risks • Manage vendors and third-party platform integrations • Measure consultant and agency performance against KPIs and participate in reviews • Monitor industry trends and competitor activity • Build and mentor team members as the business grows • Maintain daily customer-service inbox completion, up-to-date trackers/reporting, proactive stock planning, and at least one meaningful new automation per month

🎯 Requirements

• Philippines-based candidates • Solid experience in operations management, general management, logistics, or inventory management, ideally including international logistics/import-export exposure • Broad background spanning a variety of roles, with ability to step into a senior generalist position • Experience working remotely for an international/offshore employer highly regarded • Experience across D2C and B2B operations attractive • Prior B2B sales experience attractive, including negotiating and closing large/bulk orders • Direct experience managing international incoming stock, products, and freight from origin through delivery • Experience with local demand profiling and stock forecasting • Hands-on ability to integrate AI into everyday operations and build automations/workflow integrations, including Gemini and Claude • Fluency in Google Workspace • Solid operations and inventory management experience with international logistics and import/export exposure • People management, team leadership, and delegation experience • Project/task management ownership using ClickUp or similar • Strong e-commerce fluency and hands-on experience with e-commerce sales platforms • General understanding of customs clearance and import/export terminology • Experience with accounting software such as Xero or QuickBooks and basic bookkeeping principles • Microsoft 365 experience • Shopify experience, including apps/plugins, nice to have • Familiarity with Microsoft Clarity and Klaviyo, nice to have • Technical knowledge of SEO/SEM/email marketing tools and tactics, nice to have • Fully fluent, professional-level English, written and spoken • Comfortable and confident on the phone • Proactive, autonomous, adaptable, hands-on, highly organised, and comfortable with continuous learning • Approximately 40–50 hours/week, primarily Monday–Friday with some weekend availability as needed • Must disclose existing ongoing roles or client work • Must reflect the engagement on LinkedIn as “Independent Contractor”
