📋 Description

• Manage the business inbox, emails and day-to-day office administration • Schedule jobs, crews, materials and supplier deliveries using Tradify or similar job management software • Track jobs from quote through completion, identify delays or issues early, and keep work on schedule • Coordinate with customers, builders, suppliers and internal teams on schedules, variations, job updates and requirements • Follow up outstanding quotes and invoices with the bookkeeper • Support the transition from Tradify to a custom-built job management platform, including data setup and process documentation • Develop and maintain SOPs for office and operational processes • Provide the owner with a weekly overview of jobs, upcoming schedules, outstanding items and potential issues • Identify and resolve operational issues proactively

🎯 Requirements

• 5+ years’ experience in operations, office management, scheduling or a similar coordination role • Experience within roofing, construction, trades or a related Australian business is highly preferred • Hands-on experience with Tradify or similar job management systems such as ServiceM8, simPRO or Fergus • Strong Microsoft 365 skills, particularly Outlook, Excel, Word and Teams • Excellent organization and time-management skills, with the ability to manage multiple jobs, deadlines and stakeholders • Confident and professional communicator who can build strong relationships and communicate effectively with builders, customers and suppliers • Experience creating SOPs or supporting a software/system migration is highly regarded • Must be Philippines-based • Independent Contractor Agreement engagement • Expected to align with AU business hours, approximately 6:30 AM–3:30 PM, Monday to Friday • Must disclose existing ongoing roles or client work • Must reflect the engagement on LinkedIn as “Independent Contractor”
