• Own and optimize the founder’s calendar, protect deep-work blocks, resolve conflicts, and ensure meeting readiness • Build weekly operating cadence and prepare briefs for timely decision-making • Anticipate founder needs and manage next actions • Triage and prioritize email, draft responses, and manage stakeholder expectations • Maintain clear communications across internal and external partners • Produce executive-ready updates, summaries, and decision memos • Run task boards, set deadlines, drive follow-ups, and unblock teams • Track cross-department deliverables, escalate risks, and propose solutions • Coordinate vendor and partner workflows, including scheduling and light contract/administrative support • Draft and polish decks, memos, customer letters, SOPs, and executive talking points • Capture meeting notes and convert them into action items with owners and dates • Maintain a source of truth for decisions, plans, and status • Pull basic reports and synthesize data for executive decisions • Create simple dashboards or summaries to monitor priorities and progress • Identify operational bottlenecks and recommend improvements
• Previous Chief of Staff or senior Executive Assistant experience serving a founder or CEO in a fast-paced, high-growth company • Proven experience running cross-functional projects and owning executive operating cadence, including calendar, communications, and task boards • Exceptional written communication and experience drafting decks, memos, and executive-ready materials • High judgment, confidentiality, and accountability under pressure • Strong proficiency with productivity and project systems such as Google Workspace, Microsoft 365, Asana, Notion, Monday, Slack, and Zoom • Computer with at least 8GB RAM and Intel i5 or AMD Ryzen 5 processor or higher • Internet speed of at least 40MBPS • Headset with extended noise-canceling microphone and webcam • Backup computer and internet connection • Quiet, dedicated workspace at home • Reliable internet connection • Required to provide own computer with Intel Core i5 or similar or higher operating system • Availability for 40 hours per week, approximately 9am–6pm ET
