• Conduct research, prepare reports, handle information requests, and perform clerical functions including correspondence, visitor reception, conference calls, and meeting scheduling • Provide internal guidance and coordination on administrative functions, management controls, metrics collection, standard operating procedures, and administrative compliance • Coordinate, respond to, and monitor document requests and correspondence according to applicable policies and procedures • Coordinate and prepare government staff travel arrangements, authorizations, and vouchers through the organizational travel system • Write and edit memos, develop spreadsheets, file and copy documents • Compile correspondence, briefing materials, talking points, and reports for government staff review and approval • Coordinate and schedule internal and external meetings and maintain staff calendars with priority management • Coordinate media appearances, interviews, and congressional meetings or briefings • Review meeting invitations for accurate titles, purpose, agendas, documents, and attendees • Take meeting minutes and notes, prepare executive summaries and action items, and distribute approved materials • Comply with administrative policies, task requirements, executive secretariat guidelines, formats, and procedures • Draft responses to written requests and complete clearance documentation • Apply the Plain Writing Act of 2010 and ensure appropriate communication tone and style • Review grammar, spelling, punctuation, accuracy, and clarity of communications • Provide logistics support for on-site events, teleconferences, videoconferences, registration, and room reservations • Research off-site meeting venues • Plan and facilitate working sessions and other efforts requested by government staff • Organize briefing materials and action items, including binders • Manage records through reviewing, filing, scheduling, and archiving documents • Manage complex tasks, prioritize competing demands, and adapt in a fast-paced environment
• DHS Suitability is required • Only U.S. citizens are eligible • Ability to obtain and maintain a Public Trust or Suitability Determination • Solid Microsoft skills • Ability to juggle priorities across multiple executives • Adaptable and flexible; able to pivot to other activities for executive fast-response requirements • Strong basic consulting skills and ability to support senior managers or executives • Ability to craft responses, build PowerPoint briefings, conduct basic analysis, and organize and synthesize numerical or other information • Strong background in Microsoft Excel, PowerPoint, OneNote, and Word • Working knowledge of Power BI and Visio is a bonus • Ability to support executive meeting management, organizing, outreach, and meeting logistics • Ability to use SharePoint to manage information • Understanding of Knowledge Management principles • Proactive work style with minimal direction • Occasional travel may be required; expected to be less than 10%
