📋 Description

• Provide comprehensive administrative support to the Vice President of Team Business Operations and Chief of Sport • Manage complex calendars, schedule meetings, and coordinate priorities across stakeholders • Coordinate domestic travel arrangements, prepare itineraries, and process expense reports • Prepare correspondence, presentations, reports, meeting agendas, and executive materials • Monitor action items and ensure timely follow-up on initiatives and commitments • Coordinate and track cross-functional projects, deliverables, timelines, and milestones • Maintain project plans, action trackers, and status updates • Partner with internal departments and team operators to facilitate collaboration and timely execution • Support department planning, budgeting, and operational processes • Coordinate recurring Team President meetings, working groups, committee meetings, and office hours • Prepare agendas, meeting materials, presentations, and supporting documentation • Record meeting notes, document decisions, and distribute action items and follow-up communications • Assist with planning and execution of league meetings, workshops, and special events • Coordinate event logistics, registration, travel, vendors, venues, catering, and meeting materials • Support onsite event operations and post-event follow-up • Maintain departmental manuals, playbooks, templates, policies, and shared resources • Organize files, presentations, and documentation within shared platforms • Assist in drafting and distributing league communications to clubs, team operators, and internal stakeholders • Coordinate information requests and prepare executive reports, presentations, and briefing materials • Identify administrative process improvements and support special projects as assigned

🎯 Requirements

• Exceptional organizational, planning, and time management skills • Ability to manage multiple priorities simultaneously • Strong written and verbal communication skills • Exceptional attention to detail • Ability to work independently and collaborate across multiple departments • Sound judgment, discretion, and ability to maintain confidentiality • Advanced proficiency in Google Workspace • Advanced proficiency in Microsoft Office Suite • Advanced proficiency in project management or collaboration tools such as Asana, Monday.com, Smartsheet, Airtable, or similar • Bachelor's degree in Business Administration, Sports Management, or a related field • 3+ years of experience in executive administration, operations, project coordination, sports administration, or a related field • Experience coordinating meetings, events, travel, and cross-functional projects involving multiple stakeholders • Experience preparing presentations, reports, and executive-level communications • Comfortable working in a dynamic, fast-paced startup or professional sports environment with shifting priorities
