• Update and maintain our Excel Project Tracker by monitoring applications, design submittals, approvals, and contracts from the Utility Company. • Send and follow up on emails to request project documentation from clients and the Utility Company. • Set up new jobs, ensuring processes are followed (e.g., creating folders, assigning job numbers, and organizing files in our system). • Save and organize files from various email sources, ensuring everything is properly categorized for easy access. • Track Invoices and Contracts received from the Utility Company. • Prepare weekly summaries for the project management team, highlighting invoice and contract statuses. • Manage our general contact email inbox, ensuring all inquiries are addressed and organized.
• Fluent English: Excellent written and verbal communication skills. • Proven experience in project administration or management in a fast-paced environment. • Highly detail-oriented and organized. • Strong communication skills: if you are someone who prefers to “stay in your shell” or go unnoticed, this may not be the role for you. • Intermediate to advanced Excel skills (we will test this): Comfortable with advanced formulas, data sorting/validation/filtering for large datasets, and conditional formatting. • Bonus: Experience with pivot tables. • Experience with Microsoft Outlook: Ability to create folders, keep the inbox organized, and manage follow-ups. • Familiarity with Microsoft SharePoint. • Access to a Windows PC for work.
• Internet stipend: Up to USD 30 per month. • 10 days of paid time off annually. • All Colombian holidays off.
