• Prepare, review, and process HOA-related escrow documents (demands, disclosures, resale documents, etc.) • Ensure required information is collected from the right parties for each transaction • Maintain accurate, organized files and ensure documents are saved properly • Monitor document orders and track progress until completion • Communicate professionally with title and escrow companies, real estate agents, homeowners and board members, internal property management teams • Respond to inbound emails and phone calls in a courteous and professional manner • Follow up on missing information to keep closings on track • Ensure documents meet internal standards and are complete before submission • Support compliance processes by following checklists and procedures • Escalate unclear items to management instead of making assumptions • Provide general administrative support to the team as needed • Assist Community Association Managers with transaction-related tasks
• Previous experience supporting escrow, title, real estate transactions, or property management documentation • Strong written and verbal English skills (clear grammar is important) • Highly organized and able to manage multiple files and deadlines • Strong attention to detail and accuracy • Confident working independently with minimal supervision • Proficiency in Microsoft Office (Word, Excel, Outlook) • Experience working for an HOA management company (Nice to Have) • Experience working with US real estate documents or escrow processes (Nice to Have) • Experience in customer service, admin coordination, or compliance-heavy work (Nice to Have)
