📋 Description

• Manage multiple creative projects from kickoff through completion. • Create project timelines, assign tasks, and track deadlines. • Coordinate client feedback and revision rounds with the creative team. • Run regular project check-ins and ensure tasks progress. • Organize project information and updates in ClickUp or a similar platform. • Help onboard clients and schedule kickoff meetings. • Collect files and project materials. • Provide project updates and follow up on outstanding items. • Manage expectations around timelines, revisions, and deliverables. • Communicate professionally and clearly when handling challenges. • Find freelancers and creative specialists as needed. • Review freelancer portfolios, experience, rates, and availability. • Coordinate contractor onboarding and project assignments. • Track contractor availability, rates, and workloads. • Source and coordinate with printers and production vendors. • Request pricing and compare vendor options. • Track vendor information, rates, and project requirements. • Coordinate vendor timelines and deliverables. • Create and improve SOPs, checklists, templates, and internal processes. • Identify process improvements and maintain organized documentation. • Proactively identify potential project issues. • Track team and contractor workloads and identify capacity needs. • Match people or contractors to projects and plan upcoming resource requirements. • Track contractor and vendor costs. • Support invoicing, payment follow-ups, and contractor payments. • Assist with basic monthly QuickBooks categorization. • Keep project costs and budgets organized.

🎯 Requirements

• 3 to 5+ years of project management experience, ideally within a creative agency, branding studio, design agency, web agency, or production environment. • Experience managing several client projects at the same time. • Experience working with designers, developers, freelancers, contractors, or other creative professionals. • Comfortable communicating directly with clients and managing project expectations. • Strong organization and follow-through. • Experience creating SOPs, checklists, workflows, or repeatable processes. • Comfortable tracking workloads, deadlines, project costs, and contractor availability. • Able to stay calm and organized when priorities change. • Helpful experience with ClickUp, Asana, Monday.com, Notion, or similar project management tools. • Experience with Slack. • Experience with Google Workspace. • Experience with Dropbox. • Experience with ChatGPT or other AI tools. • Nice-to-have experience with QuickBooks. • Nice-to-have experience with CRM platforms. • Nice-to-have experience working with printers or print production.
