• Support SURJ’s Development Director and Development Team as a trusted administrative extension • Organize and coordinate director-level outreach and external relations efforts • Manage complex calendars, scheduling requests, priority work blocks, and meeting buffers • Coordinate meetings with internal and external individuals and groups, including staff, partners, donors, and members • Prepare director-level members for meetings with lead and major donors and ensure access to income-goal data • Schedule, prepare agendas for, attend, take notes at, and coordinate follow-up for Development Committee meetings • Coordinate development and communications strategies with the communications team and Deputy Development Director • Draft and proofread communications materials • Manage director-level contributions to EveryAction and Asana, including donor-meeting updates, work blocks, and email tracking • Manage director-level public-facing email accounts, including prioritizing, tracking, drafting, and sometimes sending responses • Complete director-level monthly timesheets across 501c3, 501c4, and PAC activity • Maintain development-team data, calendars, and project updates • Coordinate travel from start to finish, including accommodations, itineraries, bookings, and changes • Prepare directors for travel, register them for events, and confirm in-person meetings • Support post-travel follow-up, including thank-you notes and tracking next steps • Coordinate development-team scheduling, tasks, logistics, travel plans, and in-person gatherings • Assist with data input and maintenance for the Development Team • Create and maintain Asana project management for the Development Team • Undertake other reasonably required duties and projects in a timely and effective manner
• Minimum of 2 years as an Executive Assistant or 4 years of equivalent work-related experience supporting Executives, preferably in a non-profit organization • Google Suite proficiency and experience with data tracking required • Strong relational / customer service skills required • Familiarity with EveryAction and Asana preferred • Basic understanding of major donor strategy and engagement preferred • Fully vaccinated against COVID-19, subject to reasonable accommodation under federal, state, and local law • Demonstrated experience proactively managing a complex and dynamic schedule • Proficient in data management and command of spreadsheets • Experience working remotely or comfortable working with a distributed team • Excellent interpersonal skills and capacity to work with people across a wide range of differences, especially lines of race and class • Extremely detail oriented • Excellent verbal and written communication skills, including proofreading and copy-editing • Ability to build trust and establish and maintain effective working relationships • Ability to look ahead and anticipate needs • Ability to learn new technologies quickly • Ability to prioritize work and balance several work streams at a time • Strong ability to complete complex tasks and projects quickly with limited guidance • Ability to handle confidential and/or sensitive organizational and personal information with tact and diplomacy • Ability to exercise excellent judgment, react with appropriate urgency, and take effective action without having the full picture • Ability to make grounded assessments of how long tasks will take
