• Oversee the payroll tax function and lead the team responsible for daily accounting duties related to program operations • Supervise payroll tax specialist staff through workload management, performance coaching, training, and quality oversight • Oversee monthly bookkeeping and reconcile general ledger accounts to billing records, tax reports, and bank statements • Guide staff in researching and interpreting state-specific employer and worker tax laws • Develop, implement, and maintain processes ensuring federal and state payroll tax compliance • Oversee registration with state and federal entities and establishment of individuals as employers • Maintain client tax accounts in good standing and guide issue resolution • Direct employer-of-record setup with agencies, including agent appointment letters and tax identification number assignments • Lead research and procedure development for new state-driven tax-reporting processes • Ensure timely filing of tax deposits and reports, including SUTA, state income tax reports, IRS Forms 941 and 940, W-2, W-3, 1099, and 1096 • Oversee payment of taxes, garnishments, and other liabilities • Review workers’ compensation reconciliations and oversee annual insurance audit information • Develop workers’ compensation and other tax-related expense projections • Manage audits, reviews, year-end closeouts, and tax report preparation projects • Produce accounting-related reports and document accounting procedures • Recommend and lead process and workflow improvements • Conduct periodic quality reviews of data and staff work • Maintain confidentiality of sensitive information
• Bachelor’s degree in a business-related discipline preferred; Accounting major strongly preferred • Minimum 3 years of experience in bookkeeping, accounting, payroll tax processing, or a related field • Staff supervision or leadership experience • Previous experience preparing and filing Forms W-2, W-3, 1099, 1096, 941, and 940 required • Strong working knowledge of payroll, payroll taxes, general ledgers, and accounting or bookkeeping principles • Proficiency with accounting software, Microsoft Excel, and general computer systems • Ability to apply critical thinking, interpret rules, analyze data, draw logical conclusions, and guide others in problem solving • Demonstrated leadership skills, including coaching, delegation, and promoting accountability • Strong verbal and written communication skills • Ability to take ownership and drive process excellence
